1. Who is responsible

This notice covers this website and the demo phone line we offer. It does not cover the service we provide to customers after they sign a pilot order. That service has its own written terms and a business associate agreement (BAA).
2. This website
Hosting. This website is hosted by Netlify, Inc., San Francisco, USA. When you visit, the host processes technical data: your IP address, the time of access, the page you request, and your browser type. We need this to deliver the website and keep it secure. Legal basis: our legitimate interest (Art. 6(1)(f) GDPR). We have a data processing agreement with the host (Art. 28 GDPR). The host deletes server logs automatically after a short period.
Cookies and web analytics. This website sets no cookies and uses no advertising or cross-site tracking services. We use Netlify Web Analytics, a server-side service of our host, to understand use of this website. It uses Netlify CDN server logs to produce aggregate statistics about pageviews, unique visitors, referring sources, approximate locations, pages requested and bandwidth. We also use Plausible Analytics. It does not use cookies or persistent identifiers. It uses IP address and User-Agent to create a daily, rotating identifier, but does not store the raw IP address or User-Agent. It produces aggregate website statistics and processes visitor data in the European Union. Legal basis: our legitimate interest in understanding and improving this website (Art. 6(1)(f) GDPR). Fonts are served from our own server.
Email. If you email us, for example to request a demo, we use your message and address to reply. We keep it until the matter is closed, unless law requires longer retention. Legal basis: Art. 6(1)(b) or (f) GDPR.
3. The demo phone line
The demo line lets you hear our AI assistant. Please use made-up names, addresses and medical details. Do not give real patient information.
What we process: your phone number, the call audio, a written transcript, the details you say during the call, and the time and length of the call.
Why: to run the demo, to send a demo trip summary to our own inbox, and to find and fix problems with the assistant.
You are told at the start of the call that you are speaking with an AI assistant and that the call is recorded. If you do not want to be recorded, please hang up and book a call with us instead.
Legal basis: our legitimate interest in demonstrating and improving our product (Art. 6(1)(f) GDPR).
Who processes it for us:
- Retell AI, Inc., San Carlos, California (USA) runs the call, the recording and the transcript. We have a data processing agreement with Retell that includes the EU Standard Contractual Clauses (Module 2, controller to processor). Retell states that it does not operate services in the EU. Call data is processed in the USA, and Retell may also process it in other countries outside the EU to provide its service. Retell's own subprocessors are listed at trust.retellai.com/subprocessors.
- Retell provides the demo phone number and carries the call through its own telephony providers.
- A language model provider engaged by Retell, under Retell's agreements with us, processes the conversation so the assistant can understand and answer. These providers are listed in Retell's subprocessor list.
- Amazon Web Services, Inc. (USA, region us-east-1) runs our summary service.
- Amazon Simple Email Service (Amazon Web Services) delivers the demo summary to our inbox.
Transfers to the USA: these providers are in the USA. For Retell, transfers rely on the EU Standard Contractual Clauses (Art. 46(2)(c) GDPR). For Amazon Web Services and Netlify, transfers rely on the EU Standard Contractual Clauses in their data processing terms.
Who can see it: Henrik Grünfeld. Nobody else at HG Connect UG.
How long we keep it: recordings, transcripts and call logs are deleted 90 days after the call. Backups at our providers expire on their own schedule.
4. Your rights
You have the right to access your data (Art. 15 GDPR), to correct it (Art. 16), to have it deleted (Art. 17), to restrict its processing (Art. 18), to receive it in a portable format (Art. 20), and to object to processing based on legitimate interest (Art. 21). To use these rights, email hg@kogsy.ai. For a demo call, tell us the phone number you called from and the approximate time.
You may complain to a data protection authority. Ours is the Bayerisches Landesamt für Datenschutzaufsicht (BayLDA), Promenade 18, 91522 Ansbach, Germany.
5. Changes
We update this notice when our system or providers change. The date at the top shows the current version.
