What happens to call data
What we collect: the call audio, a written transcript, the trip details the caller gives, and the caller's phone number.
Why: to write your trip summary and to fix problems with the assistant.
Where it goes:
- The call runs on Retell, our voice platform, a US company. Under our agreement with Retell, it may process call data outside the United States, under the same BAA protections.
- A language model provider engaged by Retell processes the conversation so the assistant can understand and answer. Retell's subprocessor list names these providers.
- Our summary service runs on Amazon Web Services in the US (us-east-1).
- The summary is sent to you by email through Amazon Simple Email Service. Once it is in your inbox, it is under your control.
Who can see it: Henrik Grünfeld, from Germany, to support your line and fix problems. Nobody else at KOGSY.
How long we keep it: recordings, transcripts and call logs are deleted 90 days after the call. Backups at our providers expire on their own schedule.
Your copy: ask any time and we send your call log as a CSV file.
Deletion on request: we delete your records from our active systems within 10 business days. Provider backups expire as stated above.
BAA: We sign a BAA with you before go-live. Our voice platform (Retell) and our cloud provider (Amazon Web Services) have signed BAAs with us.

Help, failure and exit
If a call goes wrong: the summary is marked NEEDS CALLBACK and lists what is missing. Call the caller back from the number in the email.
If the same caller calls twice: you get two summaries. The second is marked POSSIBLE DUPLICATE.
If the line stops working, turn off forwarding at your phone company and your calls go back to your normal line. Then email hg@kogsy.ai.
If you go over 300 calls: you see it in the weekly report before the bill.
To stop: turn off forwarding (instant, at your phone company) and email hg@kogsy.ai to cancel.
To get your data: email us. You get your call log as a CSV file.
To delete your data: email us. See deletion above.
